Recruiting Coordinator
Role Description: As a Recruiting Coordinator, you will manage candidate logistics, coordinate interviews, and facilitate communication between candidates, hiring managers, and our recruiter. You'll also actively source candidates and conduct cultivation calls and candidate events to engage talent. Your mission is to ensure a seamless, organized recruitment process while delivering an excellent candidate experience.
Responsibilities:
In this role, you will be responsible for 5 main workstreams:
Efficient Interview Scheduling & Coordination:
Ensure timely scheduling of interviews, coordinating with candidates and hiring teams, while maintaining a seamless candidate experience.
Maintain clear communication with all stakeholders, resolving any scheduling conflicts and ensuring all parties are well-prepared for interviews.
Ensure that 95% of interviews are scheduled within 48 hours of request and conducted without rescheduling issues.
Administrative & Process Optimization:
Maintain an organized candidate database, ensuring all candidate information is up to date and easily accessible.
Assist in managing recruiting tools and platforms, streamlining administrative processes for efficiency.
Develop a clear system for tracking recruiting activities, ensuring all roles are progressing smoothly through the pipeline.
High-Quality Sourcing:
Actively source and identify top talent on career pages, including LinkedIn, reaching out to potential candidates for key roles based on specific job requirements.
Generate a consistent pipeline of qualified candidates, ensuring 50% of sourced candidates meet initial qualifications and move forward in the interview process.
Achieve a 30% response rate on LinkedIn outreach and maintain engagement with prospective candidates.
Candidate Engagement & Relationship Building:
Engage with candidates throughout the hiring process, ensuring a positive and smooth experience from initial contact to offer.
Build and nurture relationships with passive candidates for future opportunities, maintaining a talent pool for ongoing needs.
Recruitment Metrics & Reporting:
Track and report on key recruitment metrics (e.g., time-to-fill, candidate response rates, interview-to-hire ratios), ensuring ongoing improvements.
Provide weekly updates to hiring managers and the recruiting team on pipeline status, bottlenecks, and candidate progress.
Meet or exceed sourcing and coordination KPIs, such as maintaining a target time-to-fill of 60 days or less.
Qualifications/Competencies/Skills:
Organizational Skills:
Ability to manage multiple tasks, interviews, and administrative processes simultaneously, ensuring nothing falls through the cracks.
Attention to Detail:
Ensures accuracy in scheduling, maintaining records, and managing candidate information, avoiding errors that could affect the candidate experience.
Communication & Interpersonal Skills:
Strong written and verbal communication skills, with the ability to coordinate effectively between candidates, hiring managers, and internal teams.
Adaptability & Problem-Solving:
Able to handle last-minute changes, scheduling conflicts, or shifting priorities with a calm and solution-oriented approach.
Technology Proficiency:
Comfort with using applicant tracking systems (ATS), LinkedIn, and project management tools (e.g., Asana, Trello) to efficiently manage recruitment workflows.
Experience:
Required Experience:
Experience with calendar management and scheduling interviews for multiple roles or stakeholders.
Proficiency in Microsoft Office (Excel, Word) or Google Workspace (Sheets, Docs) for managing candidate data.
Preferred Experience:
1+ years of experience in a recruiting coordination, HR, or administrative support role.
Prior experience in sourcing candidates on LinkedIn or other job boards.
Familiarity with applicant tracking systems (ATS) and job posting platforms (e.g., LinkedIn, Indeed).
Experience in a fast-paced, high-volume recruiting environment, especially within the tech sector.
